Accounting Assistant


Description

The Accounting Assistant will provide direct support to all activities of the agency’s Financial section under the supervision of the Financial Manager.

Terms

Part-time; 18 hours per week; work hours are between 8 and 5, Monday through Friday, schedule to be arranged.

Salary/Wage

$18 per hour

Minimum Required Skills

  • High school graduation or GED equivalent
  • Possession of a valid California driver’s license
  • Three years of experience in bookkeeping or field related to accounting
  • Considerable knowledge of basic accounting principles and practices
  • Proficiency in Microsoft Office applications including Excel and Word
  • Skill in operating and inputting data into financial accounting software with accuracy and efficiency; prefer Peachtree accounting experience
  • Ability to understand and follow complex oral and written instructions and meet deadlines
  • Ability to work with minimal supervision; strong work ethic
  • Ability to communicate effectively and courteously
  • Ability and willingness to learn new software applications

Duties

  1. Process invoices and conduct follow-up with vendors, customers, and clients as needed to identify and resolve discrepancies.
  2. Process payments; prepare checks for mailing, distribution and delivery.
  3. Reconcile bank statements and work with bank representatives to identify and resolve discrepancies and problems.
  4. Reconcile deposits with programming paperwork and prepare deposits for delivery to bank.
  5. Develop new and maintain existing spreadsheets to manage accounting information and prepare reports for management.
  6. Assist in developing procedures and policies to improve accounts management.
  7. Ensure accuracy of and maintain accounting documents and file systems.
  8. Provide backup for payroll processing as needed.
  9. Perform simple to moderately difficult arithmetic calculations.
  10. Perform simple to moderately complex operations in financial accounting.
  11. Process daily mail and distribute appropriately.
  12. Provide backup for dispatch radio and answer telephone for Recycling operation as needed.
  13. Run errands to San Pablo Central Programs office, post office, bank, and other trips as needed.
  14. Perform other duties as assigned.

Physical Requirements

  • Use of a computer keyboard and monitor for a major portion of working hours
  • Must operate a motor vehicle in the routine accomplishment of duties (running errands)
  • Must be able to sit for extended periods
  • Must operate standard office equipment, copier, telephones, two-way radio
